Xerox C320 & C325 Firmware Update Guide

A simple guide for customers seeing toner recognition errors, supply messages or cartridge communication issues on Xerox C320 and Xerox C325 printers.

If your Xerox printer is showing a message such as toner not recognised, cartridge not detected, supply error or a similar cartridge communication message after fitting toner, the printer firmware may need updating.

Firmware is the internal software that helps your printer communicate with toner cartridges, supplies and printer components. In some cases, updating the firmware can help clear recognition issues, especially where the printer is running an older software version.

Important: Only download firmware directly from the official Xerox support website. Do not use third-party firmware files. Make sure you choose the correct file for your exact printer model before updating.

Which Xerox models does this guide cover?

This guide is mainly for the following Xerox printers:

  • Xerox C320 Colour Printer
  • Xerox C325 Colour Multifunction Printer

For both the Xerox C320 and Xerox C325, the firmware update should be completed as a two-stage process. Install the bridging firmware first, allow the printer to complete the update and restart, then install the latest firmware for your printer model.

Before you start

  • Make sure the printer is connected to a reliable power supply.
  • Do not switch the printer off during the update.
  • Do not start the update if you urgently need to print, as the printer cannot be used while updating.
  • Download the correct firmware file from Xerox for your exact model.
  • If the firmware file downloads as a ZIP file, extract/unzip it first before uploading it to the printer.
  • If your printer is managed by an IT provider, check with them before running the update.

Xerox C320 & C325: update order

For both the Xerox C320 and Xerox C325, follow the update order below.

Step 1: Install the Xerox C320 / C325 bridging firmware first

This is an intermediate update that prepares the printer for the latest firmware version. Install this bridging firmware first before installing the latest firmware for your specific model.

Step 2: Install the latest firmware for your model

Once the bridging firmware has completed and the printer has restarted, install the latest firmware for your exact Xerox model.

Tip: Treat this as a two-stage update. Install the bridge firmware first, allow the printer to fully complete the process, then install the latest firmware using the same method.

How to install the firmware using the printer’s web page

This is usually the easiest method if your printer is connected to your network.

  1. Find your Xerox printer’s IP address from the printer menu or network settings page.
  2. Open a web browser on a computer connected to the same network.
  3. Type the printer’s IP address into the browser address bar.
  4. Log in as the printer administrator when prompted.
  5. Go to Settings > Device > Software Update > Upload a Software File.
  6. Select Browse and choose the firmware file you downloaded from Xerox.
  7. Select Upload.
  8. When the printer asks you to confirm, select Proceed.
  9. Wait for the firmware to upload and install. The printer may restart during the process.

Do not power off the printer during the update. The update can take several minutes and the printer should be left alone until it has fully completed and returned to its normal ready screen.

How to install the firmware using USB

If your Xerox printer has a front USB port, firmware can also be installed from a USB drive.

  1. Format a USB drive and remove any unnecessary files from it.
  2. Download the correct firmware file from Xerox.
  3. If the download is a ZIP file, extract it first.
  4. Copy the firmware file onto the USB drive.
  5. Insert the USB drive into the front USB port on the Xerox printer.
  6. When the USB screen appears on the printer, select the three-dot menu next to the firmware file.
  7. Select Update Code.
  8. Select Proceed when asked to confirm.
  9. Wait for the update to complete. Do not turn the printer off.

What to do after the update

Once the firmware update has completed, allow the printer to fully restart. Then try the following:

  • Remove and refit the toner cartridge.
  • Check that all protective seals and packaging have been removed from the cartridge.
  • Restart the printer once more if the message remains.
  • Confirm the cartridge is the correct item for your exact Xerox model.
  • If possible, print a supplies or configuration report to confirm the new firmware version.

Will a firmware update always fix toner recognition errors?

Not always. Firmware can help where the issue is caused by older printer software, but toner recognition messages can also be caused by incorrect cartridges, damaged chips, poor cartridge contact, packaging left on the toner, or a printer hardware fault.

Do I need to install both Xerox C320 or C325 firmware updates?

Yes. For both the Xerox C320 and Xerox C325, install the bridging firmware first, then install the latest firmware for your specific model. This is the safest update order where the bridge update is required before moving to the latest release.

Does the Xerox C325 need the same bridging update?

Yes. The Xerox C325 should also have the bridging firmware installed first, followed by the latest C325 firmware from the official Xerox C325 downloads page.

Can I turn the printer off during the firmware update?

No. Do not power off the printer while the firmware is updating. Interrupting the update can cause printer errors and may stop the firmware from installing correctly.

Can firmware be downgraded afterwards?

In many cases, newer firmware cannot be downgraded once installed. Only update using official Xerox firmware and only when you are happy to proceed.

What if the toner error still appears?

Remove and refit the toner, restart the printer, check the cartridge is correct for your model and contact Cartridge World support if the problem continues.
